The right planning for your event can certainly wow your guests, and if you are planning a grand event, your guests will definitely have something to remember. But if you are on a budget, you may think that it’s difficult to plan a grand and glamorous event since this entails a lot of money. On the contrary – any good event planner will tell you that even if you don’t have a huge budget, you can still have a wonderful event if you know how to cut costs on specific things and elements. The first step is to determine your exact budget so you can formulate a plan for it. But once you have determined your actual budget, it’s time to do some creative penny-pinching, as they say. Here, then, is how you can effectively cut costs on your event without sacrificing quality.
If you are planning an event, you need all the help you can get. But rather than paying money for a professional, you can simply seek out people who can volunteer. For instance, if you need someone to handle the financial aspects of the event, then perhaps there is someone from the accounting department who can help you. The same is true if you are planning a personal event – is there someone who cooks or can cater, so you need only pay for the actual food and not the labour? Also, if your event is casual enough, maybe you can get people to serve the food rather than pay someone to do it. The caterer will normally provide this service, but if you can get volunteers, then you may only have to pay the caterer for the food as well.
Another way through which you may be able to save on costs is to consider local. For instance, if you need speakers, why not think about local ones? Rather than getting speakers from outside the area or outside the country, you can get a local speaker so you don’t have to pay for the cost of travel or hotels. Even if you pay a fee, you can still save significantly. Also, look for a local venue or search for ‘event venues near me.’ You may be surprised to find that there are some delightful venues just near or within your area so you don’t have to pay for accommodations or spend a lot on transport, either.
Also, when choosing a venue, there are those which are always popular, so you may want to stay away from these. It may be a good time to consider smaller, more intimate venues, or newly-available venues such as a nearby manor house, a barn, a rooftop deck, or a vineyard.
Know what elements to avoid
If you are on a budget, there are some elements you may well want to avoid, too, as these elements can cost a lot. This includes live bands or entertainment; consider a DJ instead. Also, when it comes to food, try to avoid beef since fish and chicken are often cheaper. You may want to customise whatever you can customise as well, but this means more expense. If you have volunteers and you want them to wear the same outfit, this can cost you – so perhaps it’s better to settle for badges and simply ask your volunteers to wear white or black outfits. Have fun, and good luck!
